How to get control of scattered catalog requests, duplicate addresses, and years of inconsistent customer information.
A customer texts you asking for a sale catalog. Another sends a Facebook message to your spouse. Someone fills out the catalog request form on your website that goes to your son’s email account, and another mentions it to your dad at the coffee shop.
Sound familiar?
When you’re running a seedstock operation, customer information comes from every direction. And when you’ve got multiple generations working together, it gets even more complicated. Everyone communicates differently, and customers naturally reach out to whoever they know best.
The problem isn’t how those requests come in. It’s what happens to them afterward.
Without a good system, those requests end up buried in emails, forgotten in text messages, scribbled on sticky notes, or passed along to whoever manages the mailing list. And eventually, something gets missed.
These are your hottest leads, the producers who are reaching out to YOU because they’re interested in your program and your sale offering. A lost catalog request can turn into a lost sale.
Give Every Catalog Request a Place to Land
Before you worry about cleaning up your customer database, you need a reliable way to collect new information.
You don’t have to change how your customers communicate. You just need one place where all those requests end up.
Here are two simple ways to make that happen:
1. Create a dedicated email label and filter.
If catalog requests come through your website or sale manager, set up a separate label or folder and create a filter that automatically organizes those emails. Rather than sorting through your entire inbox, you’ll have one place to find requests when you’re ready to enter them.
2. Set up a private email address that your team uses solely to forward customer requests.
This is especially helpful when several family members or employees are receiving requests. Create an email address that everyone on the ranch knows and can send information to.
When someone receives a text, email, or social media message, they can forward or copy the information to that address right from their phone.
Nobody has to remember to tell the office later. They just need to get the information to one place.
Whichever method you choose, establish a simple routine for marking requests as completed once they’ve been entered into your database.
The goal is to create one collection point, not another mailing list to maintain.
A Clean Mailing List Starts With Consistency
Over the years, I’ve cleaned up a lot of customer databases for seedstock producers. Most arrive as Excel spreadsheets, and I see many of the same problems over and over again.
First and last names are combined in one column. Farm and ranch names get entered in the last name column. Phone numbers or email addresses end up in the wrong fields. ZIP codes are missing, and capitalization or address abbreviations vary from one entry to the next.
Individually, these might seem like small things. But when you’re working with hundreds or thousands of customer records, they add up.
One of the biggest problems is duplicate customers.
When names and addresses aren’t entered consistently, it’s difficult to search your list and determine whether someone is already there. Add a new catalog request without checking first, and suddenly you’re sending two catalogs to the same household.
With today’s catalog printing and postage costs, those mistakes can get expensive.
Five Simple Ways to Clean Up Your Spreadsheet
If you’re still managing your customer list in Excel, here are a few things I recommend:
- Keep first name, last name, and farm/ranch name in separate columns. You can always combine fields later for mailing labels, but separating them makes sorting and searching much easier.
- Freeze your header row. When you’re 1,000 rows down in a spreadsheet, it’s easy to lose track of which information belongs in which column.
- Sort and filter each column. Look for missing ZIP codes, incorrect state abbreviations, misplaced phone numbers, and other inconsistencies.
- Check for duplicates. Excel’s conditional formatting can help highlight duplicate values, but remember that slightly different spellings or formatting won’t always produce a match.
- Search before adding anyone new. Just because someone requests a catalog doesn’t mean they’re not already in your database. They may simply have been left off your most recent mailing.
One of my favorite Excel tricks: Before doing any major cleanup, insert a column called “Original Order” and number every row. That way, you can sort and filter your data as much as you want and still return it to its original order.
These are small steps, but they can make a big difference in the accuracy and usefulness of your customer information.
Stop Managing Multiple Lists
Here’s where I think a lot of ranches get into trouble.
They have their original customer spreadsheet, a list of new catalog requests, perhaps a breed association mailing list, and another database used for sale-day registration and invoicing.
The problem is that those lists don’t always agree.
A customer updates their address at the sale, but the correction never makes it back to the catalog list. Someone registers as a new buyer, but their information doesn’t get added to the master database. Or a customer receives a catalog from a supplemental mailing list but isn’t in your registration system when they arrive on sale day.
Every time information has to be transferred between lists, there’s another opportunity for something to get missed or duplicated.
Your goal should be one reliable source of customer information that everyone can work from.
And just as importantly, you need a consistent process for keeping it updated.
How We Manage Customer Information With RBI Sale Management Software
When a new client comes to Rippe Solutions, one of the first things I ask for is their existing customer spreadsheet.
I personally go through that database, clean up inconsistent information, organize the fields, and prepare it for import into RBI Sale Management Software.
That initial cleanup is important because the system needs to be able to find customers when you search for them.
Once the database is established, managing customer information becomes much more straightforward.
Rather than scrolling through a spreadsheet, you can search by last name, farm/ranch name, or ZIP code to see whether someone is already in your system. You can verify their information, make corrections, or add a new customer using a consistent entry form.
Every new entry is also timestamped, allowing you to filter customers by when they were added.
For example, you can pull a list of new customers added on sale day, identify catalog requests received during a particular advertising campaign, or export customer information for your catalog printer.
And as you continue using RBI from one sale to the next, your database becomes even more valuable.
Want a mailing list of everyone who registered for your last three sales? Or customers who purchased cattle in the last four years? A separate list of who registered at your recent female sale versus your annual bull sale?
That information becomes available as you build your sale history.
Your mailing list is no longer just a collection of names and addresses. It becomes a tool for understanding and staying connected with your customers.
It’s Okay to Let Go of the Old Spreadsheet
I know this can be a hard one.
Some of our clients have maintained the same Excel customer list for 15, 20, or even 30 years. They know that spreadsheet inside and out, and it’s hard to imagine managing their customers any other way.
But when you’re maintaining both your old spreadsheet and your RBI database, you’re creating extra work for yourself.
Every new customer, address correction, and sale-day registration has to be transferred between systems. And sooner or later, the two lists won’t match.
For our existing RBI clients, I’d really encourage you to consider making RBI your primary customer database.
You can still export your information to Excel whenever you need it, including for your catalog printer or other uses.
But you don’t have to keep maintaining two separate systems.
And if you’re not ready to make that transition, we can always export the new customers added during your sale so you can incorporate them into your existing list.
The important thing is having a process that keeps your information accurate and up to date.
A Better Mailing List Starts With a Better Process
You don’t need a complicated system to start making improvements.
Give incoming requests one place to land. Establish a consistent way to enter customer information. Search before adding new names. And make sure corrections and new contacts find their way back to your master database.
Whether you’re using Excel or a dedicated customer management system, those habits will save time, reduce mistakes, and help you make better use of the customer relationships you’ve worked hard to build.
And if you’re already using RBI Sale Management Software, take advantage of the tools you have. The more consistently you use your customer database, the more valuable it becomes with every sale.
At the end of the day, your customer list should be working for you, not creating another job to keep up with.
At Rippe Solutions, we help seedstock producers build more organized, professional sale offices through RBI Sale Management Software and our remote and on-site clerking services. Whether you’re looking for a better way to manage your customers or want to get more out of the tools you’re already using, we’re here to help.
