If you’ve read the first three posts in this series, you know we’ve discussed all the moving parts that come with sale day. And you probably know them all too well. Pre-sale database work. Customer management. Sale day execution. Checkout logistics. Delivery coordination. Post-sale reconciliation and reporting. Breed association transfers.
And if you’ve been doing this manually or in spreadsheets, you also know how fragile the whole thing is. One missed keystroke. One deleted formula or lookup table. One key person with a sudden illness on sale day. One internet hiccup during peak checkout. And suddenly you’re scrambling.
This is where the RBI Sale Management Software comes in.
RBI stands for Ranching and Business Integration. It’s web-based software built specifically for seedstock producers who want to run professional, scalable sales without the stress and chaos that comes along with all those moving parts.
And here’s why we’re different: we didn’t build it by guessing what you might need. We built it by running hundreds of sales and making little adjustments after each one. We’ve managed clients’ operations and learned what truly works in a real sale office on a real sale day. Just like yours.
How the RBI System Works
RBI is cloud-based, which means you’re not downloading anything or managing software updates on your end. You log in with a username and password from any device with internet (laptop, desktop, tablet) and you’re up and running.
It’s a database at its core with tables for storing customers, animals, financials, and more. The magic happens when all the information combines in forms, tables, charts, reports, graphics and more. It’s a place holder for every single piece of information you need on sale day and there is so much power in the data when it’s used correctly.
RBI Sale Management Software can register buyers, clerk from the auction block, check out customers, track credits and discounts, map delivery options, generate dozens of reports for every post-sale question anyone has ever asked, and leave you feeling confident, not frazzled at the end of the day.
The system is protected, which means your team can’t accidentally delete a formula or inadvertently change a price while scrolling through reports. Google Sheets or Excel documents will let someone wipe out your whole sheet without knowing it even happened. RBI won’t. Protected fields and read-only reports mean you see what you need without accidentally breaking anything.
The Parts That Matter
Your Customer Database Stays Live Year-Round
This isn’t just a sale tool. It’s your customer management system. You can track which customers bought which lots, at what price, and in which years. Add notes about repeat buyers. Track preferences. Designate and filter buyer groups. Manage your repeat customer relationships. Between sales, your database is always there. Stop starting over each year or creating multiple copies of your spreadsheet where you end up not knowing which version is the right one to use.
Checkout That Scales With You
This is where RBI earns its keep. The software lets you build a checkout process that matches your exact sale structure. Every discount, credit, and charge is customizable. Volume discounts, sale credits, repeat buyer discounts, delivery fees, miscellaneous charges—whatever you offer, it can handle it and adjust as things change over time.
You set how discounts calculate (before or after sale credits, flat dollar or percentage), and everything flows through the individual financial reports. So when the owner asks “What did my repeat buyer discount cost me this year?” you don’t have to dig through invoices. You pull the report. It’s right there.
Invoices print in real time, customized in your colors with your logo, your contact info, and any message you want. Buyers don’t have to wait. There’s no confusion about what they owe. They leave with their paperwork while it’s fresh and everyone is on the same page.
Online Bidding Integration
If you’re running online bidding, RBI can handle your platform. We’ve built systems that pull registered buyers from your online platform and get them into the software in real time. This way, online buyers get invoiced immediately, just like in-house buyers. No separate process. No “I’ll do that tomorrow when I have more time.” Everybody is checked out and the sale is reconciled within hours of the last gavel drop.
We also track new online registered buyers that weren’t already on your mailing list, so you can capture names and build your database for next year. Post-sale, we generate mailing labels for outstanding invoices and provide PDF invoices that you can email. Faster invoicing by multiple methods of invoice delivery means faster payment collection.
Delivery Organization That Works As Hard As You Do
This is one of the most underrated features. You set custom delivery options (take home today, will pick up, need to deliver, etc.) during setup. Then during checkout, your team selects the right option for each buyer. There is always a dedicated space for notes so nothing slips through the cracks.
After the sale, the software generates delivery reports by category. Head counts by state. Buyer counts by state. Individual animal listings by location. But the real game-changer is the map.
You get a color-coded map with buyer pins that correspond to your delivery categories. You can toggle options on or off, view buyers in clusters for planning trailer loads, and click each pin to see all the animal details going to that location. Instead of spreadsheets and guesswork, you’re looking at a visual that tells you exactly what needs to happen where.
One client told us it transformed their post-sale logistics. “The mapping feature has really helped us get cattle on the road immediately after the sale without the fear that we’re missing an animal or a delivery stop.” That’s the difference between good logistics and guesswork.
Breed Association Paperwork
Depending on which breed association, we’ve built templates into the system to help streamline transfers and reduce the paper shuffling. We work with you to customize whatever export you need and walk you through it step by step. There’s no point in re-entering everything by hand when we can gather the right information in the right format for you.
When transfer fees go up the longer you wait, this one helps pay for itself. It’s small compared to the other features, but ask anyone who’s managed breed transfers for hundreds of lots. They’ll tell you streamlining this saves hours.
Data Backup and Ownership
Your data is backed up and secure. You own 100 percent of it. Your mailing list will never be sold. We keep archives of all past sales data, but we encourage you to download backup copies for your own peace of mind. This is your business. This is your customer information. We’re just the tool that makes it manageable.
How Long Until You’re Up and Running?
Setup takes time because we intend to do it right. We’d like your buyer database, catalog spreadsheet, and/or breed association exports at least four weeks before the sale. We import your data, clean it, and work with you to customize invoices, credit structures, delivery dropdowns, and anything else specific to your operation.
We can do a demo sale with your exact specs so you can see it in action before your first live sale if needed. By hosting a private Zoom call with you, we can walk you and your team through a live training and answer questions until everyone’s confident.
Most producers are surprised at how much of the setup is just us learning your sale. We’re not force-fitting you into a template. We’re building your unique system.
The Two Ways to Use It
Option 1: DIY with Remote Support
You run your sale office with your own team and equipment but use our state of the art software system. We’ll be virtually monitoring your sale in real time, watching your online bidding platform, and available by phone, text, or email if anything goes sideways. We can catch problems before you know they happened and handle quick fixes. We can also handle your online bidders and enter those on the back end while you focus on your in-house customers.
This works if you’ve got reliable office help, solid internet, good hardware, and you’re comfortable troubleshooting small things. You run the office and we’re your expert backup.
Option 2: Onsite Service
One or more of our trained team members are onsite to help run your office from start to finish. We handle setup and equipment testing, register buyers, process invoices, manage online bidding information, coordinate with your loadout crew, provide paperwork to the vet and brand inspector, reconcile financials, and generate reports. You can work alongside us or let us handle it entirely. It’s always your sale, we’re the support system.
Most producers choose this because it removes a huge amount of stress. If you’re like most producers, you wear a lot of hats on sale day. And you get a lot of questions. Under your direction, we can help handle the load that comes with the sale clerking while you’re free to handle all of these other responsibilities coming at you. You get home at the end of the day with a binder full of information at your fingertips and a feeling of being in control of all the moving parts.
For bigger sales, we typically bring one to two people for the office, plus a third person handling block duties during auction. Smaller sales run with one or two people. The reason it’s lean is the software does the heavy lifting—less paperwork, no runners, minimal filing, calculating and other manual tasks you may be used to.
Real Talk
Here’s what we hear most often: “I didn’t realize how much time I was losing to admin until I didn’t have to do it anymore.”
One of our longest clients, who runs multiple sales a year, put it this way: “It’s really hard to trust someone with the sale day process so the biggest compliment or testimony I can possibly give is letting you step into this role at each of our production sales.”
RBI is a system built by people who run cattle sales. People who understand what happens when you lose an hour to reconciliation. Who know what it feels like to have buyer confusion during checkout. Who’ve seen spreadsheets go sideways at the worst possible moment.
It’s not fancy. It’s not overcomplicated. It’s what works when it matters.
